Font size & text display

  1. The poster should be in portrait orientation with a screen ratio of 9:16, and all content to be placed within one slide.
  2. Maintain a consistent colour scheme and Recommended Font Styles are Calibri, Arial, Times New Roman with a minimum font size of 10-24pt shall be used.
  3. Ensure that text and visuals are legible when viewed at full size and when zoomed in.

Guideline to update title of the research

The presentation should be in Portrait orientation with a screen ratio of 9:16. As an example, to adjust your slides orientation and ratio in PowerPoint follow these steps:

  1. Select ‘Design’ from the menu tab.

2. Click on’ Slide Size’ > ‘Page setup’ and

3. Select ‘On-Screen Show (9:16)’ as well as ‘Portrait’. The font size depends on the default width and height (W 14.29 H 25.4cm ) that is selected according to the above settings. 

Different values might require a smaller/larger font size.

Graphs and images

Considering your poster is large with a high resolution, it is important to choose high-quality and high-resolution images and graphs to go on it. If you can’t determine whether your poster images are of a high enough resolution (quality), try zooming in. If your images appear blurry compared to the text and/or background, it is likely that your image quality is insufficient. Another way to test the resolution is to display your slide on a large screen (computer monitor or television screen) with 1080p resolution. This way, you can clearly see how your poster will appear.

  1. If you are creating your E-Poster on a PC, please make sure to save your formulas as an image and embed it into your presentation or they may change during display.
  2. A note to Apple Macintosh users: Please do not use “drag-and-drop” to insert pictures into Microsoft PowerPoint files, as graphs and images would not be displayed properly. Using the INSERT command from the menu, which will virtually eliminate these issues.

If you include images, figures, or content that are not your own, make sure you have the necessary permissions and provide appropriate citations

Preparing Video file

Ensure you use the same Poster while recording the presenting for Video purpose.

When creating your video presentation, think of it as describe your study in an informal and friendly way. This is an opportunity to engage your audience and create interest in your article. As this may be the first interaction someone has with your work, it’s important to make it engaging. To create an engaging video summary, start by summarizing your paper and include some brief points that may not be included in your article. You can explain why you conducted the study, why your paper is particularly interesting, and what attendees can gain from reading your study. 

However, it’s important to remember not to describe all the methods, results, and conclusions in your video. Attendees can already access this information by reading your paper. Instead, focus on the main points and highlights of your research 

Make sure to mention the title of your paper, but avoid mentioning author, presenter, or institute names as its already mentioned in the poster 

Also, keep in mind that your video summary should be limited to a maximum of 3 minutes. Any recording received above 3 minutes will not be considered. Overall, keep your video presentation abstract engaging, informative, and concise.

Here are a few suggestions to improve the copy:

  1. Clear sound quality is crucial, so it’s essential to minimize any background noise while recording. Find a quiet space where you won’t be interrupted to ensure the best possible sound quality.
  2. Please maintain a distance of at least one meter from your device while recording to ensure that your voice is clear and easy to understand.
  3. It’s important to note that any private or confidential information should not be included in your video recording. Please be mindful of this while recording.

The video accompanying your poster should have a duration of less than or up to 3 minutes.

Things to ensure!!!

  1. Please ensure that your E Poster includes your Confirmation Number.
  2. Only upload a PDF version of the E Poster.
  3. Avoid including hyperlinks as there will be no internet access on the E-poster screens.
  4. Do not enable document encryption or password protection for the E Poster.
  5. For video presentations, submit them in MP4 format. Additionally, use the same E Poster for the video.

File size

The maximum file size allowed for e-poster and video presentation submissions are 20 MB each and make sure your file complies with the same.

File Name

Avoid using symbols or special characters in the file name when saving your document. Instead, please name your file as “E Poster Confirmation no. XXXX” for posters and “AV Confirmation no. XXXX” for videos.

Be aware of the submission deadline and make sure to submit your e-poster on time.

How to upload your E Poster

To access the submission portal, please login using presenting author’s email ID and password. Once logged in, select the “Presentation” tab. At the file upload area, click on the “e Poster upload” button to upload your e poster. Please ensure that the e poster is prepared according to the provided guidelines. After that, you can proceed to upload your video by clicking on “Addition Video” and selecting the MP4 file for upload.
