Event Travel and Logistics Management – Terms & Conditions

Scope of Services

Qeni Pvt Ltd will manage all travel and ground logistics as per the event requirement and approved travel plan. Vehicles including sedans, SUVs, tempo travelers, and coaches will be provided as per the logistics grid shared and approved by the Client. 

Package and Kilometre Calculation

Vehicle usage will be calculated on a garage-to-garage basis. 

Package terms, vehicle types, and rate structures may vary across different cities. 

Distance and time calculation starts from the time a vehicle leaves the garage until it returns. 

Additional hour and kilometre charges will apply if the vehicle usage exceeds the agreed package. 

Additional Charges

If vehicle usage exceeds the allotted package (in time or distance), additional charges shall apply based on the rates mentioned in the approved quotation. 

If extra vehicles are required on short notice or during high-demand periods, rates may vary and will be based on real-time availability. 

Toll, Driver Bata, and Parking Charges

Toll, parking fees, and inter-state taxes are charged at actuals and are not included in the base package. 

For trips exceeding 8 hours, driver bata charges will apply as specified in the quotation. 

Extra hours beyond the package duration will be billed accordingly. 

Vehicle Dispatch and Availability

Vehicles will be sourced from the nearest available garage. 

Vehicle models and types are subject to availability. 

Qeni reserves the right to dispatch an equivalent or upgraded category vehicle if the original category is not available. 

Cancellation Policy

Cancellations must be sent via email to Qeni’s official communication address. 

60–45 days before travel: 40% cancellation charges. 

45–30 days before travel: 60% cancellation charges. 

30–15 days before travel: 80% cancellation charges. 

Less than 14 days or spot cancellations: 100% of the package value will be charged. 

No-Show Policy

In case of a no-show by the guest or delegate, the full amount will be billed. No refund or adjustments shall be applicable. 

Replacement Vehicle

If a vehicle develops a mechanical issue within city limits, a replacement will be arranged based on availability. 

Outside city limits, replacement vehicles will not be provided. Charges as per the agreed rental will still apply. 

Qeni’s decision on replacement vehicles will be final. 

Cleanliness and Usage Restrictions

Vehicles must not be used to carry pets, hazardous materials, or goods that may damage the interiors. 

Any damage caused due to misuse will be chargeable at actuals. 

Seasonal Price Variation

Rates are subject to change during festive seasons or high-demand periods. Advance confirmation is required to lock prices. 

Vehicle Damage Liability

Any physical damage to the vehicle during usage caused by the delegate or guest will be billed to the Client at actual repair costs. 

Force Majeure

Qeni Pvt Ltd shall not be held liable for delays or failure in service delivery caused due to unforeseen circumstances beyond control, including but not limited to: 

Natural calamities 

Accidents 

Vehicle breakdowns 

Political unrest 

Strikes or government-imposed restrictions 

Acceptance These terms are binding and mutually agreed upon by the Client and Qeni Pvt Ltd. For special cases or exceptions, a written agreement is required.
