(Applicable for SaaS-based Digital Platforms & Tools Used in Conferences and Events)
Qeni Pvt Ltd (“Qeni”) utilizes a combination of proprietary systems and trusted third-party SaaS (Software-as-a-Service) platforms to provide digital services that support conferences, meetings, and exhibitions.
These services may include, but are not limited to:
Online attendee and speaker registration
Abstract submission and scientific program management
Payment processing for domestic and international participants
Delegate engagement tools (e.g., mobile apps, polling, live Q&A)
Exhibitor booths and interaction dashboards
Digital schedule builders and personalized agenda tools
Analytics and reporting dashboards
These tools are used to deliver an integrated experience for clients, delegates, and event partners, while also maintaining compliance and data governance standards.
The digital tools used by Qeni are third-party licensed SaaS platforms hosted on secure cloud environments.
As such, Qeni acts as a service integrator and administrator, not the developer, owner, or host of these platforms.
The Client acknowledges that Qeni cannot guarantee uninterrupted access, complete functionality, or error-free performance due to the reliance on external vendors, servers, and infrastructure beyond Qeni’s direct control.
Ownership & Responsibility: All event content (e.g., abstracts, speaker bios, uploaded materials) remains the intellectual property of the Client or original creator. Qeni does not claim rights over client-submitted or user-generated content.
Data Processing: Any personal data collected through these platforms will be processed solely for event operations and will not be sold or misused. The systems comply with applicable privacy laws (e.g., GDPR, CCPA, IT Act).
Storage & Retention: Data is stored on third-party servers with industry-standard encryption and may be retained temporarily post-event for analytics or legal compliance.
Access Management: Access to the platform, portals, and user-specific data is managed through secure credentials and role-based permissions.
Qeni integrates licensed global payment gateways to enable secure online payments. These systems support multiple currencies and country-specific regulations.
Transaction Fees: All gateway charges and processing fees (including foreign exchange fees) are to be borne by the Client or end-user as per the agreement.
Qeni is not responsible for payment delays, failed transactions, or refund issues that arise from third-party banking or gateway systems.
SaaS services may experience scheduled maintenance, unexpected outages, technical errors, or performance degradation.
Qeni is not liable for any such incidents that affect user access, registration flows, content visibility, or app engagement.
In such events, Qeni will coordinate with platform providers to raise, monitor, and resolve support tickets in a timely manner and keep the Client informed.
Any feature limitations, bugs, or updates rolled out by the vendor may affect functionality, and Qeni will take reasonable steps to adapt but is not responsible for loss of features due to vendor-side changes.
Clients and their users agree to use the digital platforms in accordance with applicable laws and ethical standards.
Prohibited actions include but are not limited to: misrepresentation, abusive messaging, unauthorized sharing of credentials, tampering with system workflows, or violating intellectual property protections.
Qeni reserves the right to revoke access or terminate use for any user or client violating these policies or causing system harm.
Qeni will provide implementation support, user onboarding, and operational assistance for all digital services included in the scope of work.
On-site and remote technical support during the live event will be provided per agreed SLAs.
Support does not cover vendor-side issues such as system bugs, code-level disruptions, or infrastructure outages, though Qeni will liaise with vendors for escalation.
Qeni’s liability in connection with digital services is strictly limited to the service fees paid by the Client.
Under no circumstances shall Qeni be liable for:
Loss of data or content caused by third-party failure
Missed submissions or registrations due to user error or platform outages
Business disruption or revenue loss due to SaaS provider downtime
The Client agrees to indemnify Qeni against any claims arising from misuse of the platform by its representatives, delegates, or end-users.
Qeni provides limited-term, non-transferable access to digital services during the duration of the event project.
Additional licenses or usage overages (e.g., increased storage, user count, bandwidth, or premium features) will be billed separately.
The Client agrees not to attempt to reverse engineer, copy, or sublicense any portion of the platform or mobile applications.
Upon project or event closure, the Client may request data exports or reports within 120–60 days, after which data may be purged from the platform.
Early termination by the Client before the contracted event period does not relieve them from payment obligations for services already rendered or licenses acquired.
These terms are governed by the laws of India, and disputes, if any, shall be subject to the jurisdiction of the courts located in Mumbai or Kochi.
By engaging Qeni Pvt Ltd for event digital services, the Client acknowledges and agrees to the above terms and understands the third-party, SaaS-based nature of the platforms used.
