One of the integral aspects of any Scientific or Medical Conference is the quality of abstracts that are submitted and presented.
Over the past 2 years of the pandemic, the abstract submission process has totally transformed and turned digital.
But before we proceed further and talk about the simplified digital process, let us discuss about abstracts and the usual submission process.
An abstract is a condensed version or summary of the research study. It is a means of conveying what was done and why, what was found and the implications of that finding.
Abstracts are a great way to accurately communicate scientific concepts to a targeted audience.
Usually, the abstract submission process is very physical and cumbersome:
The Scientific Committee of the Medical Conference calls for original abstract submissions within a particular cut-off date. These abstracts can be oral or through a poster.
Further, these abstracts are reviewed by a panel of Chairs or reviewers.
As we have mentioned earlier, the pandemic was a watershed moment in history and everything got digitized and accepted at an unbelievable pace.
At Qeni, The Conference Experts, we always adapt to evolving technology in the conference management space. We brought in the web enabled Abstract Submission and Review System, which is totally online, making it easier and faster for both submissions and review of the abstract.
We integrated this digitized Abstract Submission and Review System successfully into our medical conferences and have got fabulous reviews from both the Medical Associations and the authors of the abstract.
The digital version of the Abstract Submission Process is absolutely simple and can be broken down into 2 simple steps :
The user has to log into the Conference website and if he or she is a new user, has to register in the system.
Once the registration process is complete, then the user can submit their abstract by clicking on the Abstract Submission link and need to fill up the form before submission.
Once the abstract is submitted, the authors will be notified about the acceptance or rejection of their abstract, by email within a stipulated period of time.
After the submissions have been collated, the Abstract Management System will share the abstracts with the Reviewers, who have been assigned by the Abstract Committee to review the abstracts received.
The Abstract Review Process is highly organized, collaborative and helps the committee easily coordinate the scoring and voting across multiple stakeholders, offices and time zones.
Further all the data is available at fingertips on real time.
Our abstract management system was implemented at the annual Indian Rheumatology Conference 2021.
This virtual conference was hosted and managed by the Conference Management team at Qeni.
Let us give you a brief about the way it was done at IRACON 2021:
Create a customised Submission Form to collect content submissions and speaker information.
Assign speaker submissions to the appropriate reviewers based on topic
Accept or reject submissions and send automated email notifications
Qeni was engaged to manage the prestigious 6th International Conference of The Consortium of Accredited Healthcare Organisations at the Grand Hyatt Kochi Bolgatty in the month of April 2022.
At this conference also our Abstract Management System was employed for both collecting the submissions and review.
The process here was also equally simple:
Create a customised Submission Form to collect content submissions and speaker information.
Assign speaker submissions to the appropriate reviewers based on topic
Accept or reject submissions and send automated email notifications
Before we conclude, we are quite happy and proud to share few testimonials about the Qeni Abstract Management System, from leading Doctors, who play an important role in their respective medical associations,
